This Privacy Policy explains how GIVE UP Cycling Club ("GIVE UP", "the club", "we", "us") collects, uses and protects information through the GIVE UP members portal at members.giveup.bike (the "Portal"), including our optional text message (SMS) program. Questions? Email [email protected].
Summary
- We collect what we need to run the club: your membership application, contact details, emergency contacts, signed waivers, event RSVPs and dues records.
- We do not sell your personal information, and we don't use advertising or analytics trackers.
- Your mobile number and SMS consent are never shared with third parties or affiliates for marketing or promotional purposes.
- You can view and update most of your information yourself in the Portal, and ask us to delete your account at any time.
Information we collect
Information you give us
- Application and profile: name, nickname, pronouns, date of birth (to confirm you are 18 or older), email address, mobile and other phone numbers, mailing address, emergency contact names, relationships and phone numbers, your answer to "how many times have you ridden with us", and any note you send the club admins.
- Membership choices: the membership option and dues amount you choose.
- Signed agreements: the text of each waiver or agreement you sign, the name you type to sign it, the date and time, your IP address and browser details. This record is kept as evidence of your signature.
- Events: your RSVPs (going, maybe, can't go), your event email preferences, the event series you subscribe to, and how you want to appear on RSVP lists.
- Mobile number and SMS preferences (if you opt in to text messages): your phone number, which types of messages you chose, when and how you gave consent, and your verification status.
- Messages to us: anything you send us by email.
Information collected automatically
- Sign-in and security: when you sign in we record the date, time, IP address and browser type for that session, so you can see and sign out of your devices under Account → Security. The Portal uses a small number of strictly necessary cookies to keep you signed in and protect forms from forgery. We do not use advertising, analytics or tracking cookies.
- Records of changes: we keep an internal audit log of important actions (for example approvals, payments recorded, and changes admins make to member details).
Payments
Dues are paid through Stripe. Your card details go directly to Stripe and are never seen or stored by the club. Stripe tells us the amount, date and a payment reference so we can record your dues.
How we use information
- To review applications and run memberships, renewals and dues.
- To keep signed waivers and agreements as required by the club's insurance.
- To contact you about your membership, club events you've RSVP'd to, and changes or cancellations.
- To reach your emergency contact if something happens to you at a club event.
- To send the emails and text messages you've chosen to receive.
- To keep the Portal secure and prevent abuse.
What other members can see
Other members only see your RSVP to an event, displayed the way you choose (your name, your nickname, or just counted). Your contact details, address, date of birth and emergency contacts are only visible to club admins. Ride leaders may be given the RSVP list for an event, including phone numbers and emergency contacts, so they can keep the ride safe.
Text messages (SMS)
If you opt in to text messages from GIVE UP, we use your mobile number only to send the types of messages you selected (such as event reminders, event changes and cancellations, safety notices, and one-time verification codes) and to respond to HELP and STOP requests. Opting in is optional and is not a condition of membership.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We only use our SMS provider (Twilio) to deliver the messages you asked for, and it is not permitted to use your information for any other purpose.
You can opt out at any time by replying STOP to any message, or by changing your preferences in the Portal. See our Terms and Conditions for the full SMS program terms.
Who we share information with
We do not sell or rent personal information. We share it only as needed to run the Portal, with these service providers acting on our behalf:
- Amazon Web Services: hosting, database and email delivery.
- Cloudflare: secure network connection to the Portal.
- Stripe: payment processing.
- Twilio: text message delivery (only if you opt in to SMS).
- Strava: event pages show Strava route maps. When a route map loads, Strava receives your IP address and browser details under Strava's privacy policy.
- Google Fonts: the Portal's typeface is loaded from Google, which receives your IP address under Google's privacy policy.
We may also disclose information to the club's insurer when needed for a claim, if required by law, or to protect someone's safety.
How long we keep information
- Membership records are kept while you're a member and for a reasonable period afterwards for club, insurance and accounting purposes.
- Signed waivers and agreements are kept for as long as they may be needed as a record for insurance or legal claims.
- Unconfirmed applications (where the email address was never confirmed) are deleted after 7 days.
- Sign-in sessions expire after at most 400 days, and you can end them yourself at any time.
- Backups are kept for a limited time and then deleted.
Your choices and rights
- See and update: Account → Profile shows your details; Account → Event settings controls event emails and how you appear on RSVP lists.
- Text messages: reply STOP to any text, or change your SMS preferences in the Portal.
- Delete: email [email protected] to close your account. We'll delete your personal information except where we need to keep it (for example signed waivers and dues records for insurance and accounting).
- Questions or corrections: email [email protected].
Security
The Portal uses encrypted connections (HTTPS), passwordless sign-in links, and access controls so that only club admins can see members' personal details. No system is perfectly secure, but we take reasonable steps to protect your information.
Age requirement
The Portal and the club are for people 18 or older. We do not knowingly collect information from anyone under 18.
Changes to this policy
If we make important changes we'll update the date at the top of this page and, where appropriate, let members know by email.
